5 Things to Consider When Looking for an Event Venue
Planning an event? Before you do you’ll want to ask yourself a few questions regarding your wants and needs. Luckily, we’ve created a quick list of five things to consider when searching for a venue. 1. What’s The Date?
First things first, what’s the date? No real event planning can be done without a set date. It’s important to remember that if you’re planning an event that isn’t for a specific seasonal holiday, birthday, or event to be flexible with the dates. The time of the year can effect the cost of not only any event venue, but photographers, dj’s, catering companies and more. For example, if you’re planning an engagement party for March, consider having it on a Friday or Sunday. These days are often less booked and will sometimes even cost less than the typical Saturday night event.
2. What’s Your Guest Count?
When looking for a venue, it’s a good idea to go in any appointment with a rough headcount in mind. The difference in having 100 people to 200 people could be a good chunk of change. It’s important to have at least a rough estimate to tell the venue’s managers, as some may offer multiple rooms for various size parties.
3. What’s Your Budget?
If you already have a budget in mind, then you’re already ahead of the game. When setting your budget for any event it’s good to keep in mind that most venues will take about 40% of your budget. While that isn’t always true, the average cost of venue’s cuts into a typical budget by about 40%. You may find some venue’s that offer packages and specials based on the time of the year, and even venue’s that include cost of catering and extras into their price.
4. Will You Have a Band, DJ, Or Other Entertainment?
Your event is going to need music, but what kind are you going to choose? You can find affordable entertainment options online, or even by asking your venue if they have referrals that work with them. Sometimes you may even be able to get a discount if you book through your venue! Whatever choice of entertainment you choose, remember to create a music playlist for them to base the night off of.
5. What Extras Do You Need?
Now that you have your venue, take a step back and think about what else you need. If the venue you selected included entertainment and catering than you’re nearly done with the big ticket items. Consider what extras you can afford within your budget that will give your party a special touch. If you and your guests love pictures, consider renting a photo-booth for the night! Many companies offer various types of photo-booth options including accessories that will make for a great element of any party. If you’re having a lot of children at your event, consider getting a candy station set up or even bringing in a magician to perform. Think outside the box! But remember to stay in budget.
